Vehicle Document Tracking

A complete system to track the physical location and legal status of RCs, Insurance, and other critical vehicle documents.

Logging Documents

Record the location and status of every physical document.

Go to Vehicle Details > Documents Tab
Select Document Type (RC, Insurance, NOC, Form 29/30)
Enter Status: 'With Seller', 'In Office', 'Sent to RTO'
Upload scanned copy for digital access

Physical Tracking

Never lose a document again with Rack/Box logging.

Assign a Rack Number (e.g., 'Rack A')
Assign a Box/File Number (e.g., 'File 105')
Update this location whenever the file moves
Search by VIN to find physical file location instantly

RTO Management

Track the transfer process.

Mark status as 'Sent to RTO Agent'
Log Agent Name and expected return date
Receive alerts for pending RTO works
Update 'RC Status' to Transferred once complete

Handover to Buyer

Ensure all documents are given during delivery.

Generate 'Document Handover' receipt
Checklist: Original RC, Purchase Invoice, Insurance
Buyer signature on handover form
Mark vehicle status as 'Sold & Docs Handed Over'

Physical Location System

We use a simple Rack & Box system to organize physical files.

Example Location: Rack 02, Box 15

Means the file is in the 2nd Rack, inside Box #15.

* Always update this in the system if you move a file.

Document Statuses

With Seller

Documents still with the person you bought the car from.

In Office (Verified)

Physical file is in your office rack/safe.

Sent to RTO

Currently with agent for transfer/renewal.

With Buyer (Pending Transfer)

Handed over to buyer, but transfer not confirmed.

Important Compliance Note

Never hand over a vehicle without verifying that the RC transfer forms (Form 29/30) are signed. The system will alert you if these docs are missing during sale.
